Add a COA or other document

What this does

Attaches a document to a product. It appears on the product page and in your storefront's documentation library.

Before you start

• The document as a PDF, up to 10 MB.
• The lot number it refers to, if it is a certificate of analysis.
• Your store needs a web address and a chosen design before a document can be published, because publishing a document is part of publishing your shop.

Steps

Certificates arrive with your catalog when Torva builds your store. To add more, one lot at a time or a whole folder at once:

1. Open Products and select Upload certificates. Drop in every PDF (or a photo of each certificate, which is saved as a PDF).
2. Torva reads each file name for the product, the lot number and the test date. Check each row and fix anything it could not tell. A file it cannot match to exactly one product is left for you to choose, never guessed.
3. Tick the confirmation that each certificate matches the product and lot beside it, then select Save.
4. Select Put them on my live store. That approves each certificate for download and refreshes your live product pages. Your design is not changed.

For a single certificate, open the product, find Documents & COAs and select Add a certificate. A certificate that is saved but not yet public is listed there with a Put on my live store button.

To correct the lot number, test date, laboratory or purity later, select Edit details on the document. Those facts appear beside the certificate on your storefront.

What happens next

Each lot is kept as its own certificate. The product page shows the newest lot first (by test date) beside the price, and lists the earlier lots under it, so a customer holding an older vial can still find the certificate for their lot. Every certificate is also listed in your storefront's documentation library.

On Command, customers who bought that product in the last 18 months get the Lot certificate published email when a new lot's certificate goes up, once your email domain is verified.

Torva checks that the link works. It does not read the PDF, and it does not verify the laboratory, the batch or the result.

Common problems

Customers cannot match a vial to its certificate. Record the lot number on the document, and put it in the title too. That is the only thing tying the two together for the person holding the bottle.

The document is not showing. Open the product: a certificate that is saved but not public says so under Documents & COAs, with the button that publishes it. The product also has to be active.

"Your live store could not be refreshed." The certificate is saved and approved, but your storefront could not be republished, usually because your domain is still connecting. Check Storefront, then try again.
